Satisfactory progress requirements
VET students
- Successfully complete all required assessment tasks
- Attend at least 80% of scheduled classes
- Submit assessments by the required dates
- Meet academic conduct requirements
ELICOS students
- Achieve at least 50% in each summative assessment test
- Attend at least 80% of scheduled classes
- Participate in formative and summative assessments
- Demonstrate satisfactory progress during each study period
Key monitoring thresholds
80%Minimum attendance expected in each monitoring period.
2 weeksA VET assessment not submitted within two weeks of its due date is an at-risk indicator.
5+ daysMore than five consecutive days of absence without approval is an at-risk indicator.
When is a student considered at risk?
VET indicators
- Not participating in a summative assessment
- Not submitting work within two weeks of the due date
- Receiving a Not Yet Competent result for one or more assessment tasks
- Attendance below 80% or an extended unapproved absence
ELICOS indicators
- Not participating in formative or summative tests
- Achieving less than 50% in a summative test at the end of a study period
- Attendance below 80% or an extended unapproved absence
How PIC monitors students
- Assessment outcomes are recorded and reviewed through the Learner Management System.
- Attendance is recorded and analysed regularly using attendance records and monitoring tools.
- Trainers and teachers notify Administration about concerning absences or missing assessment work.
- ELICOS monitoring records identify students as progressing, at risk or not progressing.
- Intervention commencement and review dates are recorded and kept on the student's file.
Detailed reassessment and resubmission dates vary between training packages. Students must follow the dates provided by their trainer or assessor and the complete policy.
Intervention support
PIC develops an Individual Intervention Plan with a student who is at risk. Depending on the student's circumstances, support may include:
- Advice about course suitability or alternatives
- Opportunities for reassessment
- English-language or learning support
- Review of learning materials
- Extra time to complete tasks
- Supplementary or modified learning materials
- Additional learning exercises
- Counselling or personal support
- Referral to an external organisation
- A reduced course load where appropriate
Warning and intervention stages
- First warning: PIC invites the student to a meeting, discusses the reasons for the concern and agrees on improvement actions.
- Progress review: PIC follows up, monitors progress and updates the Intervention Plan where necessary.
- Second warning: If progress or attendance remains unsatisfactory, PIC meets with the student again and implements a formal intervention strategy.
- Notice of intention to report: If the student continues not to meet requirements despite intervention, PIC issues a final notice explaining its intention to report through PRISMS.
- Appeal opportunity: The student has 28 days from the date specified in the notice to access PIC's complaints and appeals process.
- Reporting: If there is no appeal, the appeal is unsuccessful or the student withdraws, PIC reports the breach through PRISMS within 7 days.
Extension of course duration
PIC may extend the duration recorded on a student's CoE only where an accepted reason applies, including:
- Compassionate or compelling circumstances supported by evidence
- The student is complying with an intervention strategy
- An approved deferral, suspension or leave from studies
- PIC cannot offer a required prerequisite unit
- A student visa delay prevents the student from starting on time
Examples of compassionate or compelling circumstances include serious illness or injury, bereavement, natural disaster, political upheaval or a supported traumatic experience.
If the course duration is extended, PIC records the reason, updates PRISMS where required and advises the student to contact the Department of Home Affairs about possible visa impacts.
Online and distance study
VET students
- A course is not delivered entirely online or by distance.
- No more than one-third of units in a compulsory study period may be online or by distance.
- At least one unit in each compulsory study period must normally be studied face-to-face.
- Participation in online study is monitored.
ELICOS students
PIC does not offer online or distance learning as an addition to the required 20 hours of contact time each week.
Reporting and appeal rights
- PIC may report a student only after unsatisfactory progress or attendance continues despite intervention.
- The student receives written notice of PIC's intention to report and the reasons.
- The student may use PIC's Complaints and Appeals process within 28 days.
- A student who appeals within the allowed period is not reported until the appeal process is completed.
- Students must continue attending classes during the appeal process.
- If reporting proceeds, PIC keeps the warning letters, notice and related records on the student's file.
