How PIC handles personal information
PIC collects, uses, stores and discloses personal information in accordance with applicable privacy and education laws. Information is collected only where it is related to PIC’s business, student administration or legal and regulatory responsibilities.
Information that may be collected
Personal details
Name, contact details, date and place of birth, identity and demographic information.
Study information
Academic history, enrolment, training, participation, assessment, progress and certification records.
Administrative information
Employment details where relevant, fees, payments, support needs and correspondence.
International students
Course, English proficiency, passport, visa and other information required for CRICOS and visa administration.
Collection and consent
- PIC explains why information is collected, how it may be used and who may receive it.
- Information is commonly collected through application and enrolment forms, assessments, training records and online submissions.
- Sensitive information is collected only where consent or another lawful basis applies.
- Individuals are told about consequences that may follow if required information is not provided.
- Personal information is not supplied to third-party marketers without prior written consent.
Unique Student Identifier
VET students must have a USI. With a student’s authority, PIC may collect the identity information needed to apply for a USI and provide it to the Student Identifiers Registrar. Identity documents collected solely for this purpose are securely destroyed after the USI is generated and validated.
Storage and use
Paper and electronic records are protected through reasonable security measures and access is limited to authorised staff. Information may be used for student administration, training delivery, certification, reporting, student support, course monitoring and legal or regulatory compliance.
PIC may contact individuals about its own products or services. Individuals may opt out of this marketing at any time by contacting PIC.
When information may be disclosed
- When the individual has consented or would reasonably expect the disclosure
- When disclosure is required or authorised by law
- To prevent or lessen a serious threat to life, health or safety
- For authorised education reporting, regulation, research or statistical purposes
- To bodies such as government departments, ASQA, NCVER, the Student Identifiers Registrar and other authorised organisations
Access, correction and complaints
Individuals may request access to or correction of information PIC holds about them. A request must be made through the applicable records-access process and identity must be verified. PIC states that arrangements for access will be made within 10 days and does not charge an access fee.
